Loading Dock Scheduling: Coordinating Delivery Appointments

A loading dock can only handle so many vehicles at once. When several deliveries arrive without coordination, trucks queue, docks sit blocked, and drivers wait while freight that could have been unloaded sits on the back of a vehicle.

Loading dock scheduling, also called delivery appointment scheduling, is the practice of assigning arrival windows to inbound and outbound vehicles so that freight moves through loading areas in an organised flow.

Why Unscheduled Deliveries Create Problems

Sites that accept freight without appointment windows commonly experience:

  • Vehicles queuing on-site or on surrounding streets
  • Longer waiting times and detention disputes
  • Dock doors occupied while freight for that door is not ready
  • Staff unavailable at the moment the vehicle arrives
  • Congestion affecting safety around the loading area

For distribution centres receiving from many suppliers, unscheduled arrivals make it nearly impossible to plan labour and dock allocation.

How Appointment Scheduling Works

In a scheduled system, each delivery or collection is assigned an arrival window, often 30 to 60 minutes, before it is confirmed.

The receiving site uses these windows to allocate dock doors, plan unloading staff, and sequence work. The transport provider uses them to plan routes so vehicles arrive when the site is ready.

Businesses scheduling deliveries should confirm the appointment with both the receiving site and the transport provider, so everyone is working from the same window.

What Information an Appointment Needs

A useful dock appointment includes:

  • Site address, entry point, and dock or door number if pre-allocated
  • Arrival window and expected unloading duration
  • Freight details: pallet counts, weights, and handling requirements
  • Vehicle type and any unloading equipment it carries, such as a tailgate
  • Contact details for the driver and the receiving team

Accurate freight details matter: an appointment booked for a standard pallet delivery that arrives as an oversized load can disrupt the rest of the schedule.

Setting Realistic Unloading Durations

One of the most common scheduling mistakes is allowing too little time per appointment. When one unloading runs over, every subsequent appointment that day slips.

Businesses should measure typical unloading times for their freight and use realistic durations, with small buffers between appointments at busy sites.

Communicating Delays and Changes

Even well-planned schedules are affected by traffic, breakdowns, and earlier delays in the chain. The difference is how quickly those changes are communicated.

Drivers or dispatch teams should notify the receiving site as soon as an arrival window is at risk, and sites should advise when they are running behind so approaching drivers can adjust. A simple notification process prevents small delays becoming failed appointments.

Review Scheduling Performance

Sites and transport providers can jointly review on-time arrival rates, waiting times, and appointments missed or rescheduled. This data shows whether windows are realistic and where congestion concentrates in the day.
